THE CHALLENGE

MRI were planning their EMEA Growth Kick Off a multi-day, high-stakes leadership event bringing teams together from across the region.

The brief was complex and multi-layered:

Identify a venue that could support plenary sessions, multiple breakouts, accommodation, and evening events all within a tight January window and then deliver the event seamlessly on-site.

Silverstone offered scale and impact, but also came with logistical challenges: winter conditions, multiple buildings, long days, and the need to repurpose spaces efficiently without escalating costs.

This wasn’t about finding a venue that looked good.

It had to work hard for five full days.

The Experience

Our Approach

Planit supported MRI from the outset leading on venue sourcing, accommodation strategy, and delivery planning, before moving into full production and on-site execution.

Venue & Accommodation Strategy
We built a solution that balanced proximity, comfort, and budget:

  • Full buyout of 197 rooms at Hilton Garden Inn Silverstone

  • Trackside and countryside apartments at Escapade for senior leaders and key teams

  • A clear accommodation plan across arrival waves and event days

This ensured delegates were close to content, minimised transfers, and stayed fully immersed in the experience.

Conference & Content Delivery
 Across the week, we delivered:

  • A 270-person plenary, including setup, rehearsals, and live delivery across 3.5 days

  • Six breakout streams, coordinated and supported throughout

  • A full plenary turnaround into an awards evening

  • Three evening events, each with a distinct format and atmosphere

To maximise value, kit was repurposed across spaces, elevating the experience while keeping budgets under control.

On-site Partnership
Our team worked as an extension of MRI’s - solutions-first, collaborative, and calm under pressure. No “us and them”. Just one team, focused on making the week work.
